The Role

This role is a great opportunity for someone looking for a varied role, working alongside all departments within our outlet. Situated in a key location as you enter the outlet, this person will represent Tuckwells to incoming visitors, answering telephone calls as well as supporting with a number of administrative and financial responsibilities.

Essential Duties

The role would involve (but is not limited to) the following tasks:

Reception Duties:

  • Answering phones that have not been dealt with by the auto attendant, and filtering calls/messages
  • Greeting visitors and providing refreshments
  • Dealing with post and deliveries

Outlet Admin Duties:

  • Maintaining supplies of catering supplies – milk, drinks, water etc
  • Central ordering and distribution of stationary across all outlets, ensuring best prices maintained
  • Dealing with delivery notes for all machines delivered locally, ensuring these are scanned/sent to the relevant central dept to deal with.
  • Ensuring the office is kept tidy and clean – liaising with the cleaning team as appropriate
  • Organising Outlet Events
  • General go to for outlet queries and liaising with Outlet Manager/CFO as appropriate and deputising where necessary.

Finance Duties:

  • Assistance with managing central finance email inbox
  • Processing purchase invoices for the Parts department
  • Liaising with parts team on queries on invoices
  • Assisting Purchase Ledger controller with inputting purchase invoices
  • Filing of all invoices

Skills and Qualifications:

  • Outgoing, confident manner and ability to communicate credibly and professionally with peers and external stakeholders.
  • Some experience in admin or finance would be advantageous but not essential
  • Experience working in a small company environment
  • Experience working under own initiative but as part of a collaborative, functioning team.
